Association of Protection and Development of Cultural Heritage (hereinafter – APDCH) manages the cultural heritage of Mālpils Manor, ensuring its maintenance and preservation for future generations.
To implement these goals, a luxury class design hotel and one of the best restaurants in Latvia have been created in the Mālpils Manor. The magnificent halls and parlours of the Manor are perfect for hosting weddings, special celebrations, as well as seminars and banquets. We want our clients to feel welcomed when choosing Mālpils Manor’s provided services. Our customers can spend time in our hotel independently or rent the Mālpils Manor for their event.

In order to provide our clients with the best service, we might need to process your personal data. In such case, Mālpils Manor acts as a curator.

APDCH can receive data both from you when you provide such data and from another source, such as the travel agent or public databases.

These provisions are designed to provide you with the necessary information as the data subject in accordance with the Regulation (EU) 2016/679 of The European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter – Regulation).

(I) When and in what cases we process your personal data

You must know that we primarily will process your data only to prepare, conclude and fulfil a contract in cases if you have chosen to receive Mālpils Manor’s services (staying in hotel, renting premises for events).

We may process your data in other cases, on the legal basis, for example, for accounting and information to the tax authorities in cases stipulated by law.

When personal data processing is necessary to prepare a contract or provide service based on written contract you shall not be obliged to provide such information. However, please take into account that in this case we will not be able to ensure the preparation of the contract and the conclusion of the contract.

Only with your consent can we process your data for purposes that have no other legal basis and only to the extent that you have agreed. Such purposes may be, for example, sending a special offers of Malpils Manor, customer card service or sending a job offer if you are an applicant.

We always process data in a minimal volume in order to achieve data processing purposes. We do not collect or process data that is not necessary for achievement of our goal. By providing us data on your own initiative, we advise you to thoroughly evaluate the volume of data provided. Do not provide us third party data if you are not sure that you have rights to process third party data.

Depending on services used and terms of transaction, the volume of data processed may vary. The volume of data processed is always determined according to each case individually.

(II) If you represent a legal entity that receives services from us

In order to receive services from APDCH you provide information about your representative as well as contact persons. Before disclosing information about your representatives and contact persons, please inform these persons about the fact of processing of personal data and the possibility to find here information on how such processing of personal data is carried out.

The data of legal entity officials and other representatives will be used to ensure conclusion of a planned contract with a legal entity, execution of such a contract or communication with a legal entity (see section “Why and in what cases we process your personal data “). We process the data of representatives of legal entities and contact persons in order to acquire a proof of preparation, conclusion or execution of the transaction.

If you provide us information about your officials and other representatives, please avoid submission of personal information and personal means of communication (personal phone number, personal email address, home address). Please note that we cannot distinguish information about personal means of communications from the company communication facilities.

(III) If you are a job applicant

If you are a job applicant and would like to apply for a job in APDCH according to the published by APDCH advertisement, we will ask you to send us an application (motivation letter), as well as a description of work experience and education (CV) and contact information, in order to evaluate your compliance to a job position in APDCH. In some cases, we may ask you to specify persons who may give you recommendations.

If you do not provide information about your work experience or education and other skills that may be useful for your work, we may have limited opportunities to evaluate you, so we will most likely not evaluate your candidacy. If you do not provide your contact information (e-mail address or phone number), we will not be able to contact you.

Information you provide us will be used in the process of staff selection in order to contact you, negotiate or prepare an employment contract if your candidacy is appropriate and you agree to work in APDCH.

If the employment contract with you is not concluded, personal data that you have provided will be kept until completion of search process of an employee for a particular job position.

You can always send us your motivation letter and CV and ask that we contact you in cases when APDCH have job vacancies that correspond to the position you are looking for. In such cases APDCH will keep your data until your consent is revoked.

(IV) If you have granted your consent to the processing of personal data

You can always grant consent to receive non-binding information, various offerings, or promotional materials from us; for participation in promotional activity, in surveys during our publicity events or for the use of your private photos in our publicity events.

In this case your personal data will be processed on the basis of consent and your consent and submission of personal data is voluntary. If you do not provide them, we will not contact you, including providing information about APDCH offers and will not share any other information unless there are other legal grounds for doing so.

Your consent may be withdrawn at any time, but this will not affect legality of processing of personal data done prior to such withdrawal of consent and legality of such processing.

If you provide consent as stated above, your personal data will be kept until you withdraw your consent.

(V) Who will receive your personal data

Your personal data will be used only for the intended purposes of data processing.

For the purposes of processing of data your information may be transferred to our employees and service providers, who provide services to APDCH and are involved in the conclusion of the contract or fulfilment of obligations, such as a service company of the restaurant, if it is necessary to contact you about restaurant services, lawyers, sworn lawyers, accountants, IT professionals, postal service providers, as well as other people involved in the personal data processing. In cases determined by law, your personal data will be transferred to the State or local authorities or to the court.

(VI) How long your data will be stored

The time of storage of your data depends on the purpose of data processing, aim and legal basis.

Personal data will only be processed for as long as necessary. The time of storage may be justified by the contract with you, purposes of court proceedings, legitimate interests of APDCH or third parties, applicable laws and regulations (for example the law on accounting, regulations on prevention of money laundering, statute of limitations, civil rights, etc.)

We inform you that according to Regulation you have the following general rights:

  • to request access to your data;
  • the right to request data correction or deletion in certain cases;
  • the right to request limitation of processing of your data in certain cases;
  • the right to object to processing of your data in certain cases;
  • the right to data transfer;
  • the right to withdraw your consent if the basis for processing of your data is your consent;
  • the right to file a complaint with the supervisory authority.
